Job Description

Northern Lights Resort & Spa is an award-winning luxury retreat just outside Whitehorse, offering unforgettable Northern Lights experiences, gourmet dining, and exceptional hospitality. We are currently seeking a reliable and detail-oriented Office Administrator to support our front- and back-office operations.

About the Role

As Office Administrator, you’ll play a key role in keeping daily operations running smoothly—from managing guest communication to preparing schedules and organizing reservations. You’ll be the go-to person for incoming calls, emails, and general inquiries, working closely with our guest services and tour teams.

Key Responsibilities

  • Answer and respond to phone calls and emails in a timely and professional manner

  • Support the booking and reservation process for guests and tour activities

  • Assist with scheduling for daily operations, airport transfers, and guided tours

  • Help prepare information and materials for incoming guest groups

  • Monitor tour schedules and communicate any changes to guides and drivers

  • Assist with basic bookkeeping tasks and office organization

  • Support guest services including sauna orientation and general questions

  • Maintain up-to-date records and ensure smooth office workflows

Requirements

  • Previous experience in office administration, hospitality, or tourism preferred

  • Strong communication skills (spoken and written)

  • Highly organized and detail-focused

  • Comfortable working with email, phone systems, and booking software

  • Friendly, professional, and guest-oriented attitude

  • Ability to work independently and as part of a small team

  • Must be comfortable working in a remote location
