Job Description
The FACILITIES MANAGER will be responsible for operational oversight, repair, + maintenance of commercial, industrial, + retail properties. With a mandate to ensure facilities are safe, efficient, compliant, + cost-effective, the FACILITIES MANAGER will also be responsible for building systems + overseeing subcontractor performance to maintain accountability and transparency. This role requires strong technical expertise, organizational skills + a proactive approach to developing systems + processes that drive consistency + operational excellence.
Responsibilities
Maintenance + Operations
- Develop, implement, + oversee preventative maintenance schedules for building systems (HVAC, boilers, chillers, electrical, plumbing, lighting).
- Conduct regular inspections of facilities, equipment, + grounds, ensuring issues are documented, prioritized, + resolved promptly.
- Directly perform minor repairs + troubleshooting; coordinate specialized contractors for complex or technical repairs.
- Monitor building automation systems + ensure optimal operation of mechanical + electrical equipment.
- Oversee cleaning, waste removal, pest control, landscaping, snow/ice removal, + security services.
Subcontractor + Vendor Accountability
- Establish clear performance expectations + service-level agreements (SLAs) with all subcontractors.
- Conduct routine audits of subcontractor performance against contracts + KPIs.
- Implement + maintain systems for logging vendor response times, quality of work, + cost tracking.
- Ensure subcontractors comply with site safety requirements, health + safety legislation, + insurance coverage
- Escalate + resolve deficiencies, enforcing accountability through corrective action plans when necessary.
Systems + Process Implementation
- Develop + maintain a facilities management system to track maintenance schedules, work orders, + compliance records.
- Standardize reporting tools + dashboards to provide visibility on building performance + vendor activity.
- Implement digital logbooks for inspections, incidents, + contractor attendance.
- Create emergency preparedness procedures, documentation, + training to ensure readiness across all properties.
Safety + Compliance
- Ensure compliance with building codes, fire + life safety regulations, + occupational health + safety standards.
- Lead building evacuation procedures + emergency response efforts in coordination with first responders.
- Perform + log fire safety checks, life safety system tests, + emergency lighting inspections.
Financial + Administrative
- Develop + monitor facilities-related budgets; track expenditures + approve invoices.
- Identify cost-saving opportunities through vendor negotiations + proactive maintenance planning.
- Provide regular reporting on facilities performance, maintenance backlog, + vendor accountability.
General
- Maintain strong relationships with commercial tenants, addressing facility-related concerns quickly + professionally.
- Ensure common areas, loading zones, + parking lots are functional, safe, + well-maintained.
- Provide after-hours on-call coverage for urgent facility issues on a rotational basis.
Requirements
- 5+ years of facilities management experience across commercial, industrial, or retail portfolios.
- Hands-on technical knowledge of building mechanical, electrical, plumbing, + life safety systems.
- Proven experience in subcontractor management, system implementation, + vendor accountability.
