Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional communication skills and the ability to manage multiple tasks efficiently. This role is essential in ensuring the smooth operation of our office and supporting high-level executives in their daily activities.

Responsibilities

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Serve as the first point of contact for internal and external communications, demonstrating excellent customer service skills.
  • Prepare and edit correspondence, reports, presentations, and other documents using Google Suite and other office software.
  • Coordinate event planning activities, including logistics for meetings, conferences, and team-building events.
  • Utilize DocuSign for document management and electronic signatures to streamline processes.
  • Handle phone systems effectively, ensuring prompt responses to inquiries and messages.
  • Provide clerical support such as filing, data entry, and maintaining organized records for easy access.
  • Assist with personal tasks as needed to support executives in their professional commitments.

Experience

  • Proven experience in an executive administrative support role or as a personal assistant is preferred.
  • Proficiency in Google Suite & Microsoft Office 365 applications (Docs, Sheets, Calendar) and strong computer literacy skills are essential.
  • Familiarity with phone systems and excellent customer service abilities are required.
  • Experience with event planning is a plus, showcasing the ability to manage logistics effectively.
  • Strong organizational skills with attention to detail and the ability to prioritize tasks in a fast-paced environment.
