Job Description
Consular officers are part of a small team, providing consular, passport and notarial services to Australians overseas.
The Consular team also provides IT support and general office support to the Consulate-General, with direction from the Regional IT Support Manager based in Taipei. We encourage interest from candidates with capability in IT – including troubleshooting and managing user accounts. Training will be provided.
Under the direction of the Consul-General, Consul and Senior Consular Officer:
• Under direction, provide consular services to Australian citizens in accordance with official instructions and procedures
• Under direction, process and issue Australian passports including conducting interviews, and process emergency passports
• Ensure team outcomes and deadlines are met whilst maintaining high quality of client service
• Provide general office support and contribute to the business management process
• Perform notarials, protocol duties and various other administrative services
• Assist to provide IT and troubleshooting support to the office
• Be available for on-call duty as required

Eligibility
To be eligible for consideration and appointment you must have:
• Work Authorisation - to be eligible for employment with Austrade in Osaka candidates must be legally authorised to live and work in Japan at the time of appointment.
• Language - the successful candidate will be a highly motivated team member, fluent in written and spoken English and Japanese.
• Pre-employment checks - your suitability for employment will be assessed through a pre-employment screening process.
What you’ll need to be successful
The Consular Officer will have:
. High level oral fluency and written proficiency in English and Japanese.
. Demonstrated organisational skills - capacity to handle multiple tasks and prioritise effectively.
. Proven aptitude to deliver efficient and courteous client-oriented service.
. Superior attention to detail and adherence to relevant legislation and guidelines.
. High level interpersonal skills (empathy, discretion, emotional intelligence) and demonstrated resilience in stressful situations.
. Ability to work flexibly and as a member of a small team.
. Appreciation of Japanese social (welfare, health) systems, legal process and procedures is desirable.
. Proficiency in operating office software and IT systems, and the capability to learn new programs in a timely manner.
Digital Literacy
. Awareness of the digital environment and how to engage with clients in a digital first manner.
. Confidently use digital workplace tools to solve problems, be productive, connect and collaborate with others.
